An exceptional opportunity has arisen for an experienced and enthusiastic executive assistant to join our Arbitration and Commercial Litigation team in Sydney. This is an exciting role with a diverse range of responsibilities, and the successful candidate will provide executive support to who a partner whose responsibilities straddle managing a dynamic international disputes practice as well as responsibilities associated with being the firm’s Head of Diversity and Inclusion.
The successful candidate will provide executive and legal support to both the partner and a high-performing team of lawyers. We are looking for a dynamic assistant with at least three years’ prior experience and a genuine desire to be involved in both growing a high-performing legal practice and assisting with management responsibilities.
Key responsibilities include:
- Events support, including arranging domestic and international events
- Diary management, including scheduling conferences with multiple internal and external stakeholders
- Managing complex national and international travel arrangements
- Assisting with the coordination and planning of diversity and inclusion events in line with the firm’s diversity and inclusion policies
- Inbox management and support
- Managing billing, time recording, expense management and budget reporting
- Triaging and assisting with client management as well as enquiries from counsel, court staff and other internal and external stakeholders
- Developing relationships internally and externally in order to facilitate the smooth operation of the practice
- Matter management including arranging conflict searches, opening and closing matter files, archiving, and ad hoc filing
Required skills and experience:
- Exceptional organisational and time management skills
- Strong written and verbal communication skills with a high attention to detail and accuracy
- The ability to manage competing priorities and work to tight deadlines
- A high level of discretion and confidential document management
- Ability to work independently
- Advanced knowledge of Outlook, MS Word, Excel and PowerPoint
- Advanced knowledge of CMS Aderant or other finance related software
- Advanced knowledge of NetDocuments or other document management software
